Scope of this policy
This policy covers two distinct categories of information. The first is account information about the individuals who use the platform. The second is plant data: your asset register, maintenance history, spare-parts records and vendor list. The two are treated differently, and the distinction matters throughout this document.
Account information we collect
- Name, work email address, designation and the company you work for.
- Facility details supplied during signup, such as industry, number of sites and approximate machine count.
- Authentication records, including login timestamps and session activity, retained for security review.
- Correspondence you send through the contact or signup forms, including the message content.
Account information is used to create and administer your workspace, to send credentials and operational notices, to provide support, and to respond to enquiries. It is not used for advertising, and it is not sold or rented.
Plant data you enter or import
Operating the platform requires equipment and maintenance information. This typically includes machine tag numbers and asset attributes, runtime hours and meter readings, operator symptom reports, work orders and repair history, spare-parts SKUs with stock levels and bin locations, downtime events with cause codes, and your approved vendor list with agreed lead times.
This data is used for one purpose: to produce health scores, raise predictive maintenance alerts, maintain spare-parts positions, generate reorder suggestions and schedule maintenance work within your own workspace. It remains your data throughout.
What we do not ask for
- Production recipes, formulations or process parameters beyond what a maintenance record requires.
- Financial accounts, customer lists or sales data.
- Personnel records, payroll information or performance reviews.
- Payment card details entered into the platform. Subscription billing is handled outside the application.
Where a maintenance record names the technician who completed a job, that name is processed only as part of the maintenance history and is visible to users in your own workspace who have permission to see that asset.
Separation between customers
Each company's workspace is logically isolated. Your asset register, stock levels, vendor terms and downtime figures are not visible to any other customer, in any screen, report or export. Plant data is not pooled across customers to produce comparative benchmarks or industry reports.
Where detection logic is improved, that improvement is made at the level of engineering and pattern definitions, not by exposing one customer's records to another.
Alert feedback and model behaviour
When a technician confirms or rejects an alert, that outcome is recorded and used to tune detection sensitivity for assets within your own workspace. This feedback stays inside your workspace and is treated as part of your maintenance record.
Service providers
A small number of providers support the platform, including hosting infrastructure and transactional email delivery for credentials and system notices. Providers receive only what is necessary to perform their function, are bound by confidentiality obligations, and are not permitted to use the information for their own purposes.
Retention and deletion
Plant data is retained for as long as your subscription is active, because maintenance history is the input that makes health scoring work. Removing history reduces the accuracy of every score built on it.
After cancellation, data remains available for export during a defined wind-down window, after which it is deleted from active systems. Backup copies age out on their normal rotation. You may request deletion of specific records earlier, subject to any legal retention requirement that applies to us.
Security measures
- Traffic between browsers, mobile devices and the platform is encrypted in transit.
- Stored maintenance records, parts data and uploaded files are encrypted at rest.
- Access is controlled by role and, on multi-site plans, by facility.
- Changes to asset records, stock counts, minimum levels and approvals are recorded with the acting user and a timestamp.
- Backups are taken on a regular schedule with restore testing.
No system can be described as absolutely secure. We will notify you without undue delay if an incident affecting your plant data occurs, along with what we know and what we are doing about it.
Your controls
- Export. Any view can be exported to CSV at any time during the subscription, including full event and audit history.
- Correction. Account details and plant records can be corrected directly in the application by users with the appropriate role.
- Access restriction. Workspace administrators control who sees which sites, assets and vendor terms.
- Communication preferences. Operational notices tied to your subscription cannot be switched off while the account is active. Any non-essential messages can be declined.
Cookies and site analytics
This website uses a session cookie to support form verification and to prevent automated submissions. The application uses cookies necessary for authentication and session management. No advertising or cross-site tracking cookies are set.
Changes to this policy
If this policy changes in a way that materially affects how plant data is handled, workspace administrators will be notified by email before the change takes effect, with enough notice to review it.
Questions
Questions about this policy, or requests relating to your data, can be raised through the contact form on this website. Please mark the request as a privacy enquiry so it is routed correctly.
